Start with iCloud
DREHSTAND brings assignments, call sheets and personal work records together. Shared production data requires an iCloud account signed in on the device and an internet connection.
- Open the app on iPhone, iPad or Mac. Sign in to the intended iCloud account in System Settings if an account is not already set up.
- Open Settings → My profile. Enter your name and role. A phone number is optional. Choose Save profile.
- Open a production invitation link on the device using that account and accept it in the Apple dialog. Return to the app and refresh.
- Choose the production under My productions or Productions. Your personal calendar brings together assignments from several productions.
The local demo uses fictional examples without a production share. A production invitation establishes membership; it does not assign a working day.
Crew
See assignments and requests in your calendar
The personal calendar separates firm assignments from open requests. A colour for each production helps when you move between sets.
- Open My calendar. Choose Month, Week or By production. Use the date range and production filter to narrow the view.
- Select a day or assignment. Check the production, role, unit, location, call time and assignment note.
- If a daily call sheet is linked, choose Open call sheet. Otherwise the assignment shows Call sheet pending; your assignment is still visible.
- Choose Timesheet for this day to go to your personal hours. Planned times are not confirmed as work performed.
The view does not automatically sync with Apple Calendar. Multiple bookings and recognisable overlaps are prompts to resolve conflicts with the productions.
Crew
Respond to an assignment request
A request is an offer for a particular day, not a firm booking. Your acceptance becomes confirmed only after production explicitly selects you.
- Open the request in My calendar. Check the date, role, call time, location, assignment note and any offered weekly wage.
- Check the production contacts: website, phone, contact person and email appear if production has provided them.
- Choose I am available · accept or I am unavailable · decline. Wait for confirmation in the assignment status.
- Refresh after a decision. Only the production's explicit confirmation creates a firm assignment. A changed request or offer needs to be reviewed again.
A production offer is separate from the private weekly wage you enter yourself. Requests and decisions may trigger a notification after successful sync if notifications are allowed.
Crew
Read the daily call sheet and PDF
The structured view helps on set; the original PDF remains available to consult.
- Open the linked call sheet from your assignment or choose the correct day under Call sheets & shoot days. Check the unit when there are several.
- Schedule shows scenes, locations, planned times and breaks. On set shows the current scene and schedule progress.
- Open Call sheet · Original PDF to read the source file.
- Look for notices of a new call sheet version. Open the current PDF; previous PDFs are under Previous version(s).
Read access lets you view the content. Only authorised admins edit the shared running order and end times. A view may be outdated after a cloud error.
Everyone
Read a weekly call sheet
A weekly call sheet is a separate guideline for Monday to Sunday. The daily call sheet remains the reference for the individual shoot day.
- Open Weekly call sheets in My calendar.
- Select the production and week. Check the displayed revision.
- Choose View PDF. With Share PDF, you choose the recipient or storage location yourself.
- For an individual shoot day, also open its daily call sheet. The weekly PDF creates no working days and copies no times into the daily schedule.
The weekly call sheet is a planning aid. It does not automatically assign you, confirm a booking or replace a daily call sheet.
Crew
Create a personal timesheet
Record your actual working hours and assign the day to the correct production.
- Open the Hours navigation tab, then My hours in the Timesheets section, or choose Timesheet for this day from an assignment.
- Select the week and day. Set Production for this day.
- Enter the start time, end time, lunch break in minutes and location. For an end after midnight, enable Ends on the following day. Add a note if needed.
- Check the calculated working time and choose Save day. Repeat for the other days of the week.
There is currently one personal entry per date with one production. The calendar supports several assignments on one date; separate timesheets for the same date are not yet supported.
Crew
Submit a week digitally to production
A saved personal week is not yet submitted. You deliberately share it with one selected production.
- Check your week: name, dates, production assignment, start, end, breaks and locations.
- Choose Submit week to production. In the dialog, select Receiving production and check the preview. Only days assigned to that production are sent.
- Confirm with Submit now. The weekly submission is shared with currently authorised production admins.
- Find the submitted version directly under My hours / Your week, with its version and the options Edit week and Withdraw submission. Explicitly resubmit after corrections: Submit week to production → Submit changes. The assignment shows whether production has confirmed receipt.
- To withdraw access, use Withdraw submission. This is separate from deleting a personal day entry.
Private weekly wages are excluded from ordinary cloud submission. Editing your personal draft does not automatically change a submitted week. A changed submission may invalidate an earlier receipt confirmation.
Crew
Export a timesheet PDF
A PDF is a file whose recipients and storage location you choose yourself.
- Open Hours, select the week in Timesheets and choose Export week as PDF.
- For Days for this PDF, select all personal days in the week or one production only.
- To include a weekly amount, additionally enable Include personal weekly wage in the PDF and select the production. The amount appears on a separate page.
- Choose Export PDF, check the file and choose a sharing or storage destination in the system dialog.
Without the additional wage selection, the PDF contains no private wages. PDF export is separate from digital weekly submission and does not replace a required submission in the app.
Crew
Submit timesheets on paper
If you use paper, production can distinguish it from a missing digital submission.
- Enable the personal Always submit timesheets on paper option for the production. You can turn it off again per production.
- Hand in the physical timesheet as agreed. The preference alone reports no submission or receipt.
- Open the firm assignment and choose Timesheet submitted on paper.
- Wait for production's separate paper receipt confirmation. If the report was incorrect, use Withdraw paper submission report.
The private preference is not treated as a submission. Paper and digital receipt are confirmed separately.
Crew
Review your work and private weekly wages
Activities brings together your work across productions over a date range you choose.
- Open Activities. Select From and To, then Show date range, or use This year.
- Review production groups with days, roles, locations, call times and personally recorded hours. Planned assignments remain separate from recorded working time.
- For a private weekly wage, choose the production and week, enter the euro amount and choose Save weekly wage. Blank means unknown; zero euros is an explicit value.
- Choose Export overview as PDF for your overall record. Include wages only if you deliberately want to share them in this file.
- Remove an unwanted private amount with Delete wage; working hours and submitted weeks remain.
The amount applies Monday to Sunday. It is counted once when that Monday falls in the range; boundary weeks show the full amount. This is a personal organisational aid, not an invoice, payroll statement or proof of payment.
Production
Create a production and invite crew
Production management appears only for production owners and confirmed admins. The owner manages invitations and access rights.
- Open Settings → My productions → Productions & invitations. In the Create production panel, fill in Production name, then press Create production.
- Select the production and open Members & permissions. As owner, choose Invite crew · View only or Invite admin · Editing rights.
- Select the intended iCloud accounts in Apple's sharing dialog. Send the private invitation link through your chosen channel.
- Once invitations are accepted, refresh the member list. Check roles and assign profiles if required.
- Open the Admin navigation tab. Its Production management section lets you manage crew, call sheets, profile and submissions.
Links are private and intended for the invited accounts. Only the owner manages invitations and rights. A normal crew invitation grants no admin rights.
Production
Add production contact information
A complete profile helps crew understand a request and reach the right person.
- Open Admin, select the correct production in Production management and choose Production profile.
- Check the name. Optionally add website, phone number, contact person and contact email.
- Save the profile. Production owners and confirmed admins can edit it; crew can read it.
- Check the assignment/request view. It displays the production's current contacts where supplied.
Enter only contacts intended for these production members. A production profile is not a public directory or a separate management website. If contacts become unavailable after a permissions change, the production owner uses Rebuild production profile, enters the reviewed contacts again and confirms the rebuild. Quarantined previous details are not imported.
Production
Assign crew or request availability
Assignment planning works before a call sheet exists. You can plan weeks or months ahead.
- Open Admin → Management settings. Enable Request availability and explicitly confirm every assignment when responses are required. Regular teams can be assigned directly. Save.
- Go to Staffing, select the production and day, and select crew members.
- Check the role suggested from the profile. Add unit, location, personal call time and assignment note. A call sheet is optional and can be explicitly linked later.
- Optionally add an offered weekly wage and decide whether a timesheet is expected for the day. Set a reminder deadline, or use zero to disable it.
- Choose Save staffing. For several days, apply the selection to a date range, optionally Monday to Friday only. Check the range and weekly offers before saving.
- For a following day, choose Copy staffing from the last planned day. It is a draft: review the copied details and add or remove people.
Assignment notes are visible to production members. Use a personal chat for confidential discussion. Earlier receipt confirmations and submissions are not copied to a new day.
Production
Review acceptances and confirm the booking
You can request several people. Production explicitly makes the final selection.
- Open the crew plan for the requested day and refresh the responses.
- Check that acceptance relates to the current offer. Changing an offer may require a new acceptance.
- For the chosen person, select Explicitly confirm acceptance. Decline other candidates for that day as appropriate.
- Save or check the updated state. The crew member sees a firm assignment only with this confirmed decision.
The first acceptance does not automatically win. Offered amounts and individual responses are separate from generally visible production planning.
Production
Upload a daily call sheet
Check the recognised structure before applying it. A searchable text PDF usually provides a better starting point than a photograph.
- Select the correct production. Open Import call sheet or the call sheet upload in management.
- Select the intended day, then Choose call sheet. The PDF limit is 20 MB.
- Compare the detected production, date, unit, shoot start, wrap, scenes, breaks, moves and time ranges with the original PDF. Correct rows or add missing blocks.
- Review warnings, date differences and text lines not imported. On a night shoot, a time may belong to the following day. Confirm the review only when the details are correct.
- Save the call sheet as a separate shoot day. Link it to the matching assignment day and unit in production planning.
The PDF is read locally. On compatible devices, additional local Apple AI/text recognition can help; it does not replace checking. Imported original PDFs become accessible through the intended iCloud shares.
Production
Provide a new daily call sheet version
For a correction to the same day, use versions rather than accidentally creating a second independent shoot day.
- Open the existing shoot day for the correct production and unit. Choose Upload new version.
- Select the revised PDF and check the recognised scenes, times and breaks. Confirm that its date and unit match the open day.
- Open Match new version. Link each new row to an existing scene or a new time block. Completed scenes are not scheduled again.
- Confirm that you have reviewed the mapping and remaining running order, then choose Save as new call sheet version. The Current PDF is marked; previous PDFs stay under Previous version(s).
- If the shoot has started, check the remaining running order. Recorded actual end times and earlier skipped history stay intact. The running day continues with the first open block in the new remaining order. The review step warns if this changes the current scene. Forecasts are anchored to the last actual end time.
- Inform your team of important changes. Crew see the new state after successful cloud sync; immediate notification delivery is not guaranteed.
Versioning is being prepared for the next app release. It replaces the remaining plan and archives the previous PDF; it does not reset recorded actual times.
Production
Upload a weekly call sheet
The separate weekly PDF guides crew. Continue providing daily call sheets for individual days.
- Open Admin → Weekly call sheet and select a week.
- Choose Upload weekly call sheet and the PDF. Check that it covers the intended calendar week.
- After successful upload, check the displayed week and version. Its assignment covers Monday to Sunday; crew find the PDF under Weekly call sheets.
- To change the same week, choose Upload replacement weekly call sheet. It replaces that week’s PDF and increases the version; previous versions of the same week are not archived. Other weeks remain separate. Upload daily call sheets independently.
The PDF limit is 20 MB and 100 pages. It creates no individual shoot days, crew assignments or daily times. If a weekly PDF becomes unavailable after a permissions change, the production owner chooses Replace quarantined weekly call sheet, confirms the rebuild and uploads the reviewed PDF again. The previous quarantined PDF is not imported.
Production
Track a shoot in progress
Only authorised admins change shared progress. Crew can follow it.
- Open the correct day in On set or Schedule and check the imported plan.
- Choose Start shoot day. Begin with the first scene or select the scene actually current if joining partway through the day.
- Record the actual scene end through the completion action or Enter end time manually. Check the time and any following-day offset.
- Compare ahead of schedule or behind schedule and estimates for lunch and wrap. Record subsequent scene ends in the same way.
- Adjust the running order when needed: add, edit, move or omit scenes, or link suitable scenes with Two in One. Check end-time corrections and the current block.
- For parallel units, use Production · all units. Each unit keeps its own progress.
Status comes from the plan and actual end times; before the first recorded end time there is no comparison basis. Estimates are not a guaranteed wrap time.
Production
Review timesheets and confirm receipt
The crew plan shows who is expected to submit. Receipt confirmation is a separate action.
- Open Admin → Staffing, then the planning day and person. Check submission status.
- For a digital submission, open the week actually shared under Weekly submissions and check the person and days. Then return to Staffing → planning day → relevant person and choose Confirm receipt. Weekly submissions lets you read or export the week; confirm receipt in Staffing.
- For a reported paper submission, check the physical timesheet received and select the corresponding paper receipt confirmation.
- Review new versions when corrections are resubmitted. Earlier confirmation does not automatically apply to all later versions.
- Set a deadline of 1–30 days in planning, or zero to disable it. Crew must have notifications and timesheet reminders enabled.
“Expected” is a requirement, “Submitted” is an accessible submission and “Accepted” is the confirmed version. Local reminders are scheduled after successful cloud sync; there is no central server-side deadline monitoring.
Everyone
Use chats and scene notes
Production chat and personal chats have different recipients.
- Open Chat for a conversation with the production team. For a one-to-one conversation, open the personal chat for the person through their profile.
- Check the recipient and send your text. Production chat is for the production; personal chats are shared only between the two people involved.
- Keep personal scene notes for yourself or department notes for the authorised team. Put only appropriate content in visibly shared assignment notes.
- For problematic messages, block locally or choose Report message. Review the report template and send it yourself to the relevant recipient.
Local blocking hides content on this device; it does not remove cloud messages. The filter is limited and there is no automatically monitored moderation inbox. Sharing between two people is not a promise of end-to-end encryption.
Everyone
Manage language, notifications and data
Settings control your view; the owner controls shared production access.
- Open Settings. Choose German or English and your preferred appearance. The website language can be changed independently with the flags.
- Enable optional notifications and timesheet reminders and allow app notifications in System Settings. Restrict lock-screen previews if desired.
- Use Check access again and refresh missing productions or outdated views. Check the iCloud account, connection and accepted invitation.
- Under Settings → Other → Back up day data, export the current shoot day and its data as JSON. This does not back up all profiles, chats or timesheets. A CSV log supports your own records. Share files only with suitable recipients.
- Remove profile details, your own message text, personal days and submitted weeks using their separate deletion/withdrawal actions. The owner can delete their call sheets or a production they own.
Access revocation requires a successful cloud sync; another owner's app may be needed for shares they own. Exported copies are not recalled. Uninstalling the app does not automatically delete cloud data.
Everyone
When something goes wrong
Refresh and check the context first; do not blindly send the same changes repeatedly.
- Check production, day, unit and signed-in iCloud account. Reconnect and refresh the view.
- For a version conflict, reload the current version and review your inputs again. The app does not blindly overwrite an intervening change.
- For PDF problems, compare the original file with recognition. Ask production for a searchable PDF if needed.
- If the problem remains, email aeschju@drehstand.com. Include app/system version, device and steps to reproduce; an anonymised screenshot helps.
Do not send passwords, Apple ID credentials or unnecessary confidential production documents. The support page has more answers; the privacy notice explains data and sharing.
